2. Personal information we collect
Website visitors: your name, email address, phone number and message when you complete a form; technical information such as your IP address, browser and device; and your cookie choices.
Schools, colleges and partners: your name, job title, organisation, work contact details, booking requirements, feedback and invoicing information.
Placement students and volunteers: your name and contact details, your course and college, your availability, information needed for safeguarding checks such as DBS checks, emergency contact details and placement records.
Young people taking part in our sessions: we usually collect very little personal information about pupils. Session feedback is normally collected anonymously. Where a safeguarding concern arises, we record the information needed and pass it to the school's or setting's Designated Safeguarding Lead.
3. How we collect your information
We collect information when you complete a form on our website, contact us by email, phone or social media, book a session, apply for or take part in a placement, attend an event, or give us feedback. We may also receive information from schools, colleges, local authorities and other partners we work with.
4. How we use your information
We use your information to:
- respond to enquiries and provide quotes
- plan, book and deliver our sessions
- arrange and manage placements
- carry out safeguarding checks and meet our safeguarding duties

- Legitimate interests: to run our charity, communicate with schools and partners, and improve our work
- Consent: for example, for optional cookies and some marketing (you can withdraw consent at any time)

6. Safeguarding and sensitive information
Because we work with children and young people, we may need to process sensitive information, such as safeguarding concerns or information from DBS checks. We only do this where it is necessary, proportionate and permitted by law, for example to protect a young person or meet our safeguarding duties. Safeguarding information is shared only with those who need it, such as a school's Designated Safeguarding Lead or the relevant authorities.

We only share personal information where necessary, and may share it with:

Some of our service providers may store information outside the UK. Where this happens, we make sure appropriate safeguards are in place to protect it.
9. How long we keep information
We keep personal information only as long as we need it for the purposes above, including legal, safeguarding, accounting and charity reporting requirements. We then delete it securely.
10. Marketing
If you're a school or partner contact, we may send you occasional updates about our sessions and events. You can opt out at any time by replying to our email or contacting education@letsbereal.uk.
